In order to provide our comprehensive ERP services, we may collect the following types of information:

  • Institutional Data: School name, address, contact details, affiliation codes, and administrative credentials.
  • Student & Parent Information: Names, admission records, academic history, attendance data, demographic details, contact numbers, and parent/guardian identifiers.
  • Financial Data: Fee payment history, ledger records, scholarship details, and transaction logs. (Note: We do not store full credit card numbers or highly sensitive payment gateway credentials on our local servers).
  • Usage & Device Data: IP addresses, browser types, mobile device identifiers, and system activity logs generated during the use of our software and mobile app.

2. How We Use Your Information

The data collected is strictly used to facilitate the day-to-day operations of your educational institution. This includes:

  • Generating digital marksheets, transfer certificates (TCs), and academic reports.
  • Managing fee schedules, calculating late fines, and generating custom receipts.
  • Syncing data between our Hybrid Offline/Online Dual Mode to ensure uninterrupted operations.
  • Providing parents with real-time updates via the Parent Portal and optional Android App (notifications for attendance, fees, and results).
  • Providing customer support and troubleshooting technical issues.

3. Data Security & Hybrid Auto-Sync Technology

Security is our highest priority. CollegeBest utilizes advanced encryption protocols to protect your data.

Our unique Hybrid Auto-Sync Technology allows institutions to operate offline. During offline mode, data is securely stored locally on authorized institutional devices. Once an internet connection is re-established, the system automatically and securely syncs this encrypted data to our protected cloud servers, ensuring zero data loss and maximum reliability.

4. Sharing of Information

We do not sell, rent, or trade your institutional, student, or financial data to third parties for marketing purposes. Information is only shared under the following circumstances:

  • With Authorized Users: Teachers, parents, and administrators as configured by your institution's specific role-based permissions.
  • Service Providers: Trusted third-party services (like SMS gateways or Payment processors) necessary to provide the ERP functions, bound by strict confidentiality agreements.
  • Legal Requirements: If required by law, court order, or governmental authority in India.

5. Data Ownership and Retention

The educational institution retains full ownership of all data entered into the CollegeBest ERP system. We act solely as a data processor. Data is retained only for as long as the institution maintains an active subscription with us, or as required by statutory educational data retention laws.

We may update this Privacy Policy periodically to reflect changes in our software features or legal requirements. We will notify institutions of any significant changes through the Super Admin dashboard or via email.
